Coordinator, Asset Management
Summary
The Coordinator of Asset Management is responsible for the coordination and implementation of cross-functional processes related to the management and inventory of various assets and equipment in the District. The incumbent in this position coordinates the operational performance and execution of all activities related to assets and inventory management.
Essential Duties
- Works collaboratively with dependent departments/schools to ensure that needed materials/equipment/devices are efficiently inventoried, distributed, and managed through their full lifecycle
- Coordinates and manages the inventory management and materials management to meet the current and anticipated growth goals of the District; Analyzes and identifies financial requirements needed for budget planning to ensure alignment with strategy
- Works with the Chief Financial Officer and others in managing the application of all goods and services within annual budgets
- Defines and recommends current and future materials/equipment/device needs and solutions in a manner that will enable leadership to make accurate, timely and responsible decisions in prioritizing and allocating resources
- Analyzes, optimizes, and implements inventory management processes to align with goals and objectives and legal rules and regulations
- Develops and implements comprehensive inventory management processes including response actions to any issues identified
- Develops and executes reports to monitor process performance and compliance with internal and external policies, goals, and practices; Develops and implements corrective actions as needed
- Understands and uses financial indicators/other metrics to measure the success of departmental processes or investments
- Coordinates and executes strategies for the efficient recovery and replenishment of inventoried materials/equipment/devices; Works with applicable departments to ensure that employees return issued materials/equipment/device upon their separation from the District; Works with academic leadership and schools to implement processes to ensure students return issued materials/equipment/devices
- Works with applicable departments including risk management to develop and implement processes and systems of accountability to minimize property loss
- Works with operations, capital programs and facilities services departments to implement facilities asset management of critical building systems; Ensures process results in proper financial reporting of construction and capital renewal efforts.
- Recommends business decisions in support of department objectives, considering operations, finance, and inventory management requirements
- Ensures cost-effective purchases of all assets, inventory management, and compliance with the related District policies and procedures
- Ensures physical assets are in good operating condition and responds rapidly to any operational issues uncovered in property inspections
- Creates and drives continuous improvement initiatives to improve all related processes
- Oversees the management of the Enterprise Inventory Management system and processes including full evaluation of current system, develop future requirements, research, and sourcing of new system and/or proposal to modify within existing system
- Drives the department toward key initiatives to help balance supply and demand, eliminating excess and obsolete inventory, and reducing overall costs to the District
- Conducts external reporting, justifies performance/answers for irregularities, discuss corrective action plans
- Performs other duties as assigned by the appropriate administrator
Required Education
Certification/Licensure
Experience Qualifications
Minimum 6 years of experience in fixed assets, inventory management or related field
Knowledge/Skills/Abilities
- Previous experience with an enterprise inventory management system integration, including development and/or implementation
- Ability to initiate and support change and implement processes, tools, and controls to contribute to continuous improvement activity within the department
- Strong analytical, critical thinking and problem-solving skills
- Experience in Inventory Management and Analysis; Strong Project Management Skills
- Experience with designing and executing processes
- Strong decision-making ability, budget experience, proven performance and resource management skills
- Ability to effectively lead, organize, and direct the work of others
- Demonstrated ability to design and implement short and long range objectives
- Ability to relate to a wide variety of people and to observe, listen and provide leadership which results in the best possible work environment
- Excellent communication skills both written and verbal
