Summary

Provides direct support to the Chief Academic Officer and the Deputy Superintendent of Academics related to program and project management, internal and external communications and Division operations including the management of grants and resources.

Essential Duties

Strategy and Planning

  • Strategic Alignment: Develops and implements academic’s team project monitoring tools to ensure alignment with District goals
  • Special Projects: Project manages special assignments from the Chief Academic Officer and Academics Leadership Team from start to finish
  • Change Management: Supports, facilitates and help guide academic leadership team through new programs and organizational shifts
  • Problem Solving: Leads root-cause analysis protocols to fix or improve project implementation issues
  • Standard Operating Procedures: Facilitates SOP development, implementation, and monitoring

Data & Systems

  • Continuous Improvement: Supports the Academics leadership team in establishing measurable goals, key performance indicators, implementation milestones, and progress-monitoring expectations for priority initiatives
  • System Creation: Builds tools, dashboards, and monitoring structure to track goals and project progress across academic departments
  • Data Analysis: Reviews data to find performance gaps and trends to inform Academics leadership team
  • Continuous Improvement: Uses District research and evaluations results to revise and align Academics goals/plans

Cross-Functional Collaboration

    • Team Coordination: Establishes and facilitates cross functional teams to solve complex district problems
    • Execution & Accountability: Identifies and removes barriers to teamwork and/or to academic project success
    • Targeted Assistance: Collaborates with Academics Team and LEAD to identify schools/zones needing priority support and then facilitates needed support from Academics Leadership Team
    • Increase Efficiency: Identifies workstream redundancies and work with Academics Leadership Team to reduce/eliminate

Communication & Reporting

    • Executive Writing: Creates and/or revises draft presentations, summaries, and briefs for the Academics Leadership Team
    • Progress Tracking: Maintains accurate and up to date records of project timelines, deliverables, and outcomes
    • Information Curation: Maintains documentation and systems necessary to monitor commitments, deliverables, timelines, dependencies, and outcomes associated with major Academics initiatives
    • Supportive Communication: Serves as a supportive communicator and team member for Academics Leadership
    • Meets deadlines and works within time constraints
    • Performs other duties as assigned by Chief Academic Officer or appropriate administrator

       

       

       

       

       

       

Required Education

Bachelor’s Degree with concentration in Education or Public Administration

Certification/Licensure

None required

Experience Qualifications

Minimum of 6 years of experience in project or program management with some experience in a school or business setting required

Knowledge/Skills/Abilities

  • Ability to customize trainings for different needs and external audiences
  • Ability to work concurrently on multiple projects and provide assistance to numerous and diverse groups of internal and external stakeholders
  • Ability to apply analytical skills and technical know-how on several different scenarios
  • Ability to make presentations to various audiences utilizing online delivery systems
  • Ability to supervise and work effectively with departmental personnel
  • Excellent decision-making and problem solving skills
  • Ability to develop, implement, monitor and evaluate program goals and initiatives
  • Extensive computer skills including spreadsheets, databases, PowerPoint, SharePoint and other computer programs
  • Excellent communication skills both written and verbal
  • Audio/visual presentation set-up and trouble-shooting experience
  • Excellent organizational and leadership skills
