Professional Assistant II, Records Management

Provides administrative support for the Records Management Office; Performs general office duties including website maintenance, record, file & database maintenance, mail distribution, and telephone reception; Interacts with external and internal customers on behalf of the supervisor; Works under minimal supervision

Essential Duties

  • Maintains established office web and Teams sites in accordance with internal procedures
  • Enter orders for materials and supplies in electronic data entry system accurately in a timely manner
  • Responds to routine questions and refers more complex requests to appropriate staff member
  • Drafts and updates routine letters, reports, manuals, and forms from specific instructions
  • Gathers relevant data and compiles statistics and information from identified sources
  • Produces a variety of correspondence and reports using software for storing, retrieving, formatting, and integrating data
  • Interacts with customers, suppliers, and employees outside of the department on behalf of the supervisor
  • Process stakeholder requests for records, verifies previously scanned records for permanent storage
  • Maintains office meeting calendars
  • Undertakes projects as assigned to support office functions
  • Performs other duties as assigned by the appropriate administrator

Required Education

High School Diploma or GED equivalent


None required

Experience Qualifications

Minimum of 2 years of clerical/administrative experience required


  • Familiar with use of Sharepoint and SAP
  • Ability to compose and compile correspondence from a variety of sources
  • Must be able to work with minimal supervision
  • Ability to compile items of information in accordance with established procedures
  • Excellent organizational skills and customer service skills
  • Excellent communication skills both written and verbal

  • Open office environment with attached records room

Physical Demands

  • Physical activity involved in creating, scanning, storing, relocating, shifting and reaching associated with the management of student files and records
  • May have to lift up to 40 lbs unassisted
