Professional Assistant III, Leave Administration
Summary
The Professional Assistant III for Leave Administration is responsible for providing administrative support to the Leave Administration office. The Incumbent provides a high level of clerical support, plans meetings, and overall office management. This position responds to inquiries providing information relating to leave policies and procedures, referring only complex inquiries to the supervisor. The Professional Assistant III is also responsible for monitoring, tracking, and reconciling actions related to leave in the SAP system.
Essential Duties
- Serves as the point of contact for all absence inquiries, educating employees and managers on the leave process, and related policies and procedures as directed by Supervisor
- Prepares and sends leave of absence notices, forms and letters, correspondence, and contact employees for outstanding leave paperwork
- Organizes and expedites flow of work through Supervisor's office, initiates follow-up actions and follow-up on pending matters
- Creates and maintains complete and accurate leave files
- Processes applicable data utilizing the SAP system to include employee data and payroll related information
- Creates, maintains, and manipulates data (e.g., spreadsheets and databases) to generate reports and to locate information found in documents and correspondence
- Maintains highly confidential data utilized by the Supervisor/department
- Assists in identifying and providing solutions to routine business matters requiring minimum direction from the Supervisor
- Receives, sorts, and distributes department mail in an accurate and timely manner; Ensures that all mail received is forwarded to the appropriate person and/or designee
- Maintains current school & administrative building contact list (e.g., phone numbers, e-mail addresses, etc.) of pertinent District personnel
- Schedules and maintains department’s conference room ensuring proper equipment is available and set up as required/requested
- Performs other duties as assigned by the appropriate administration
Required Education
Certification/Licensure
Experience Qualifications
Minimum of 5 years of clerical/administrative experience required; Experience with FMLA, Leave of Absence, or Benefits preferred; Experience with SAP or other major Enterprise system is preferred

- Proficient in Microsoft Office
- Excellent organizational and customer service skills
- Excellent communication skills both written and verbal
- Proven ability to handle confidential information
- Must be detail-oriented and able to successfully manage multiple tasks, projects, responsibilities
- Ability to compose and compile correspondence from a variety of sources
- Ability to exercise sound judgment
- Must be able to work independently
