Summary

Performs and coordinates administrative and technical work related to Capital Program/SPLOST projects

Essential Duties

  • Directs coordination with architects, contractors, and engineers on professional services agreements to ensure compliance with terms and conditions
  • Analyzes and evaluates requisitions, sole sources, and emergency procurement requests to ensure all required information is complete
  • Reviews and approves contractor insurance certificates, bid/offer bonds, payment/performance bonds to ensure compliance with FCS contractual requirements
  • Verifies validity of all bonds received to ensure company issuing bonds is in compliance with Georgia law and authorized to do business in the state of Georgia
  • Records and prepares all certified bid tabs for bid openings and ensures all bid tabs are certified by architect or engineer after final review and approval
  • Ensures that procurement sensitive documents are secure at all times
  • Coordinates with Capital Program Cost Control Department on a daily basis to ensure all documentations for contract files are obtained and placed in the official contract file
  • Creates and maintains database of all construction and facility contractors
  • Performs other duties as assigned by the appropriate administrator

Required Education

High School Diploma or GED equivalent

Certification/Licensure

None required

Experience Qualifications

Minimum of 2 years of clerical experience with at least 1 year working in a purchasing office; Experience working with an Enterprise Resource Planning system (Procurement Module); Experience working with construction contracts and documents and professional service agreements preferred

Knowledge/Skills/Abilities

  • Working knowledge of Microsoft Office Suite
  • Familiarity with the procurement process
  • Excellent organizational skills
  • Excellent communication skills both written and verbal
