Specialist II, Property Control
Summary
The Specialist II for Property Control is responsible for consistent and uniform administrative actions using the District-wide inventory system to include receiving, inspecting, maintaining an accurate disposition of all District assets, labeling of capital equipment, monitoring complete and accurate inventory records pertaining to acquisition status. The incumbent in this position performs technical and administrative duties in support of purchasing/material management functions, such as procurement system, records management, inventory control and analysis.
Essential Duties
- Creates and distributes Syndicated Catalogs to update equipment inventory items in Ariba
- Collaborates with school and administrative personnel to rectify any discrepancies in the inventory
- Compiles and creates Material Groups, Purchase Information Records, and Commodity Codes for the procurement database system
- Conducts periodic school audits and checks the accuracy of inventory reports and record keeping for property management; Communicates with principals/administrators on the accuracy and effectiveness of property control at the building level
- Works directly with warehouse and school/department personnel in regard to the tagging of inventoriable assets
- Manages the inventory scanning process during annual facility inventories and school inventory audits
- Executes and facilitates inventory reconciliation reports after annual inventory verifications are completed by auditing team, including equipment transfer and disposal procedures at all levels
- Participates in testing/troubleshooting/research with Atlas Technical Analysts
- Partners with the Accounting Department regarding the data entry of assets into the Ariba/Fiori Procurement system
- Assumes responsibility for inventory auditing to include tracking assets such as: asset notifications, stolen reports, pick-up requests, discard equipment notices, and managing vehicle titles
- Provides documentation and current replacement cost values annually, or as needed for insured carriers
- Assists in preparing and analyzing new school and/or new addition projects pertaining to equipment inventory
- Performs cross-training to ensure continuity of departmental daily operations
- Serves as the liaison between Principals, Bookkeepers, Inventory Processors, and Vendors
- Performs other duties as assigned by the appropriate administrator
Required Education
Certification/Licensure
Experience Qualifications
Minimum 3 years of experience working in a related field required; Experience with SAP or other major Enterprise system preferred
