Specialist II, Student Assignment
Summary
The Specialist II, Student Assignment supports the Operational Planning department and its Coordinator by carrying out day-to-day tasks related to student assignment processes and other departmental responsibilities. This role is responsible for maintaining and organizing critical documentation, assisting with the administration of change of school assignment requests, foreign exchange student applications, and private school data reporting. The Specialist II is expected to work collaboratively with school personnel, parents, and department leadership to ensure compliance with District policies and procedures.
Essential Duties
- Assists the Coordinator in the implementation of student assignment processes, including the review and tracking of change of school assignment and foreign exchange student requests
- Maintains and updates departmental records, databases, and official forms to ensure accurate and accessible information for Student Assignment initiatives
- Coordinates with schools to collect necessary documentation, verifying compliance with District and applicable state or federal regulations
- Supports the preparation and submission of private school attendance data for state reporting by compiling and reviewing required information
- Conducts routine data analysis to identify trends or discrepancies in student assignment and enrollment data, bringing relevant issues to the attention of the Coordinator
- Responds to general inquiries from parents/guardians, schools, and internal stakeholders regarding student assignment processes, forwarding more complex matters to the Coordinator as appropriate
- Participates in site visits or meetings as directed, gathering information to confirm records and support the department’s operational needs
- Establishes and maintains files and documents in accordance with District policies and legal requirements
- Provides administrative and operational support to the Coordinator and undertakes special projects as assigned by the Director or other departmental leadership
- Attends training, workshops, or conferences to stay current on best practices, laws, and regulations relevant to student assignment and operational planning
- Performs other duties as assigned by the appropriate administrator
Required Education
Certification/Licensure
Experience Qualifications
Minimum of 3 years of experience in an administrative, clerical, or operational support role required. Experience in data tracking, record management, or K-12 education support preferred. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) required; familiarity with database software or student information systems preferred.
Knowledge/Skills/Abilities
- Demonstrated ability to organize, maintain, and analyze large amounts of data with high attention to detail
- Familiarity with school district policies, practices, or related compliance requirements is desirable
- Strong communication skills, both written and verbal, with an emphasis on customer service
- Ability to manage multiple tasks under minimal supervision and meet established deadlines
- Ability to handle sensitive or confidential information with discretion
- Must be able to collaborate effectively with District personnel, school staff, parents/guardians, and diverse community stakeholders
- Strong problem-solving and critical-thinking skills
